MiceStack vs Tally:
What Each Tool Actually Does for MICE Operators

Tally is India's default accounting tool. MiceStack is built for MICE. Here's a feature-by-feature breakdown of what each does — and what only one of them can.

If you run a DMC or PCO in India, you almost certainly have Tally. Your CA uses it. Your invoices come out of it. GST returns are filed from it. It works.

What Tally cannot do is tell you whether your next incentive trip will be profitable before you accept it, send a client a beautiful proposal page in two clicks, or show your ops team which supplier bookings haven't been confirmed yet.

That's not a Tally failure. Tally is accounting software. MiceStack is operations software. They solve different problems. This post is a direct comparison of what each tool does — feature by feature — so you can decide how they fit together.

Enquiry and Pipeline Management

Tally: No concept of enquiries, prospects, or a sales pipeline. There is no place in Tally to record that a corporate called asking for a 150-pax conference in Goa in September. Until there is an invoice, Tally has nothing to track.

MiceStack: Every inbound request starts as an enquiry. Enquiries live on a Kanban board with seven status stages — New, Contacted, Qualified, Proposal Sent, Negotiation, Won, and Lost. Each enquiry carries the client name, event type (meeting, conference, incentive, wedding, exhibition, team offsite), expected pax count, destination, and notes.

The dashboard shows your open pipeline at a glance — how many live enquiries, how many quotations are out for review, and your win rate for the current period. You can also switch to a list view and filter by event type or status.

When your MD asks "what's in the pipeline right now?", the answer is a two-second look at the dashboard, not a conversation with three different people.

Quotations

Tally: Tally has a Sales Order and a Voucher. Neither is designed for MICE quotation workflows. There is no line-item markup, no per-line FX rate, no version history, and no way to send the quotation directly to a client as anything other than a PDF you generate yourself.

MiceStack: The quotation module is built for MICE line items across 12 categories — hotel accommodation, transport, flights, F&B, AV and technical, event management, gifting, visa, activities, photography, gala, and miscellaneous. For each line item:

  • Set the base cost in any currency (INR, USD, EUR, AED)
  • Apply a live exchange rate pulled from the forex feed, or override it manually
  • Apply a category-level markup percentage
  • Set the GST rate — stored against the category, not typed from memory each time
  • See the final presentation price per pax and in total, recalculated instantly

When the client asks for revision 3, you create a new version. Every previous version is preserved with a timestamp and the name of the user who made the change. The audit trail is automatic.

When the quotation is ready to share, one click generates a public proposal page.

The Client Proposal Page

Tally: Not applicable. Tally produces invoices. It does not produce proposals.

MiceStack: Each quotation gets a public proposal URL — a dedicated page your client can open in any browser without logging in. No client account required. No PDF attachment.

The proposal page shows:

  • A cover image for the event or destination
  • A destination description section
  • The full itinerary
  • Inclusions and exclusions formatted with rich text — bold, bullet lists, structured layout, not a plain text dump
  • The investment breakdown — per person and total
  • A "Why Us" section your org fills in once and reuses
  • A comment thread where the client can leave feedback on specific line items or the proposal overall
  • A PDF download button

No more emailing a PDF file and waiting three days for feedback scattered across a WhatsApp thread. The client opens the link, reads the proposal, and comments directly. You see their comments inside MiceStack in real time.

Contract Conversion and Payment Tracking

Tally: Payment tracking in Tally is ledger-based. You can see what a customer has paid and what is outstanding. You cannot see that a specific event had three payment milestones, that the first was received and the second is overdue, and that the overdue amount corresponds to the hotel deposit you still haven't paid because the client hasn't transferred the funds.

MiceStack: When a quotation is accepted, you convert it to a contract in one click. The contract module tracks:

  • Client payment milestones — advance, mid-event, and final, each with a due date and received status
  • Supplier bookings — which suppliers are booked for this event, what was confirmed, what's still pending
  • Operations tasks — a task list specific to this event, assigned to team members, separate from the enquiry pipeline
  • Signed document upload — store the actual signed PDF against the contract record

The contract detail page gives everyone on your team — sales, ops, accounts — a single source of truth for one event. Not three separate tracking sheets open in three different browsers.

Invoicing and PDF Export

Tally: Invoicing is Tally's home ground. GST invoices, TDS deduction, credit notes, advance receipt vouchers — Tally handles all of it correctly and your CA knows exactly where to look. This is what the software was built for.

MiceStack: MiceStack generates invoices directly from contracts — advance invoices, milestone invoices, final invoices, and credit notes. Each invoice carries the correct GST components (CGST/SGST or IGST, depending on the parties' states), the payment reference, and an auto-numbered sequential reference in the format INV-2026-0042, reset per organization per year.

Invoices export to PDF directly. The PDF is client-ready.

The practical recommendation: use MiceStack to generate and manage event invoices through the full lifecycle, and push the final data into Tally for statutory accounting and GST return filing. Both tools do their job. Only one of them is purpose-built for MICE.

Supplier Management

Tally: Tally has a supplier ledger. It records what you owe each vendor and what you've paid. It does not record supplier ratings, category specializations, payment terms, commission percentages, or which suppliers you have blacklisted for performance failures.

MiceStack: The supplier module is a full vendor master built for the MICE industry. Each supplier record carries:

  • Category with category tabs in the list view — hotels, transport, F&B, AV, decor, visa, and more — for fast filtering
  • Ratings — five-dimensional feedback per supplier per event (service quality, communication, adherence to brief, value for money, reliability), aggregated into an overall score
  • Payment terms stored per supplier, pre-filled when you create a booking against them
  • Commission percentage tracked per supplier for net/gross rate calculations
  • Blacklist flag — mark a supplier as blocked with a reason; they disappear from selection across all future quotations

When you're quoting a 200-pax incentive trip to Bali and need to pick transport vendors, you filter by category, sort by rating, and immediately see which vendors your team trusts and which ones have been flagged.

Multi-Currency and FX Handling

Tally: Multi-currency in Tally requires initial setup — defining currency masters, exchange rates, and forex gain/loss accounts. It can be configured, but getting it right for MICE export workflows (outward invoices in USD or SGD, Indian supplier payments in INR, LUT declaration for zero-rated supply) typically takes consultant time to set up correctly and tends to re-break when the workflow changes.

MiceStack: Multi-currency is native to how quotations work. Every line item can be in a different currency. FX rates are pulled live from an open exchange rate feed and cached. Any rate can be overridden manually per line. The org-level settings carry a forex buffer percentage (default 2.5%) applied automatically to quoted rates to protect margin against rate movement between quotation and payment.

The FX rate snapshot is stored at quotation creation time. The dashboard's forex widget shows live INR rates for USD, EUR, and AED.

Client Portal

Tally: No client-facing portal. Clients receive whatever documents you send them. They do not have a login or a place to check their own records.

MiceStack: Each organization gets a client portal — a secure, token-based link your client can use to view their active contracts and invoices without logging into the main application. No password required. No client registration needed. Just a link they bookmark and open when they need to review a document.

The portal shows the signed contract detail and all invoices for that engagement, with payment status on each. Your corporate client's finance team stops calling you for invoice copies and outstanding balance confirmations.

Dashboard and Real-Time KPIs

Tally: Tally's reports are accounting reports — trial balance, P&L, balance sheet, cash flow, sales register, purchase register. Accurate and comprehensive for what they cover. Not designed for daily operational decisions.

MiceStack: The dashboard is operational. When you open it in the morning, it shows:

  • Open enquiries count and a pipeline chart broken down by stage
  • Active quotations currently out for client review
  • Win rate for the current period
  • Revenue from events that have been confirmed
  • Activity feed — what changed across the team in the last 24 hours
  • Event timeline — all upcoming events plotted against the current date, with phase badges (Before Event → Upcoming → Live → Post-Event) so you can see at a glance where each deal sits in the calendar
  • Forex widget — live INR rates for major currencies
  • To-do list for operator-owned tasks not tied to a specific contract

You see where every deal is, what needs attention today, and which events are coming up in the next 30 days. No report-running required.

The Setup That Works

The practical setup most MICE operators end up with:

  • MiceStack handles enquiries, quotations, proposals, contracts, supplier management, invoicing, and team task tracking — everything from the first client call to the final payment recorded
  • Tally handles statutory accounting — GST returns, payroll, overheads, bank reconciliation, and the records your CA and auditors need at filing time
