Located in Tumkur Road, about 20 km from the city centre. The distance is a meaningful logistics consideration — factor 45–75 minutes transfer time from most city hotels depending on time of day. Most BIEC events run on a coach-shuttle model from a central hotel, which adds to the programme cost.

Logistics: What Actually Affects Your Event

Airport

Kempegowda International Airport (KIAL) is 35 km from the city centre, with drive times ranging from 45 minutes at off-peak to 90+ minutes in evening traffic. This is not a minor point — it directly affects your arrival day programme, whether you can comfortably schedule an evening welcome dinner on the day of arrival, and how you structure departure day.

Whitefield venues (Sheraton Grand, Zuri) are marginally better placed for the airport depending on route — take the NICE road via Sarjapur or Outer Ring Road and you can often do it under 45 minutes. City-centre properties (ITC Gardenia, Shangri-La) are a full 60–90 minutes minimum.

If a significant percentage of your delegates are flying in from Mumbai, Delhi, Chennai or Hyderabad on the day of the event, build a 2-hour buffer between the last arrival window and the opening session. Always.

Transfers

Bengaluru's traffic is genuinely difficult during peak hours (7:30–10:30 AM and 5:30–9:00 PM). For an event programme with morning off-site activities, airport transfers, or any inter-venue movement, plan routes and timings carefully. What looks like a 20-minute transfer on Google Maps at 2 PM can be 55 minutes at 8 AM.

The IT corridor (Whitefield, Sarjapur Road, Electronic City) to city centre is particularly unpredictable. If your venue and your evening dinner location are in different zones, either keep the group together until the programme is complete or build significant buffer.

Season

Departure at 5 AM means an early morning call for coaches, so use it for day 2 or 3 of a multi-day programme when the group has settled.

Winery visits (Nandi Valley / Grover Zampa): Indian wine country is closer to Bengaluru than most people realise. Grover Zampa's vineyard is about 40 km from the city and offers group tours and tastings. Good for an afternoon experience, half-day format. Culturally appropriate substitute for European winery experiences that resonate with a sophisticating Indian corporate audience.

Art and heritage: The Bengaluru Palace grounds, Tipu Sultan's Summer Palace, the Lalbagh Botanical Gardens — not obvious MICE additions, but for groups that want something beyond a standard gala dinner, a curated heritage walk followed by a private dinner in a heritage setting works well.

Craft brewery circuit: Bengaluru has a genuine craft beer culture, with brewpubs in Indiranagar, Koramangala, and Whitefield. For technology company groups — particularly those with a younger demographic — an evening brewery circuit or a private buyout at a boutique brewpub is a well-received informal evening event.

Private dining and chef experiences: Several Bengaluru restaurants have private dining rooms and chef's table formats that work for senior leadership groups of 10–30 people. The cuisine quality in Bengaluru — particularly South Indian fine dining at properties like ITC and a handful of standalone restaurants — is genuinely worth using as a programme element.


GST Notes for Bengaluru Events

The standard GST matrix applies in Bengaluru as across India. Key points to confirm for every quote:

Hotel accommodation: 12% GST on rooms with a declared tariff up to ₹7,500/night. 18% GST on rooms above ₹7,500/night declared tariff. Almost all five-star inventory in Bengaluru sits above this threshold, so assume 18% on accommodation unless you're using Gokulam Grand or similar at contracted rates below the threshold.

Conference packages / banquet F&B: 18% GST. This is the standard rate when F&B is bundled as part of an event or conference package. Do not apply 5%.

AC transfers (luxury coaches, AC cabs): 12% GST.

Your event management / DMC fee: 18% GST.

GST registration: If your client is a GST-registered entity (virtually all corporate clients are), they will expect a proper tax invoice with HSN/SAC codes for each line item. Issue it correctly from the outset. Issuing a single blended invoice for a complex event is not just sloppy — it creates problems when your client's accounts team processes it for ITC or expense approval.

If you are passing through hotel and venue costs as a principal (buying and reselling), you are responsible for the correct GST treatment on both sides. If you are operating as a declared agent with a management fee model, the tax treatment differs. Clarify your model with your CA if there is any ambiguity.


When to Choose Bengaluru (and When Not To)

Choose Bengaluru when:

  • Your client's business is technology, IT services, or has significant operations in the city
  • You need serious large-format convention infrastructure beyond 1,500 pax
  • Your client's delegates are predominantly based in South India
  • You need reliable five-star room inventory at volume during peak conference season
  • Your brief requires a mix of conference infrastructure and real-city experiences (restaurants, culture, nightlife) without paying Goa resort prices

Consider alternatives when:

  • The brief is leisure-first: beach, resort, outdoors. Goa, Kerala, and Coorg all do this better than Bengaluru.
  • You need Mughal heritage or royal palace settings. Jaipur and Udaipur are the clear choice.
  • Your client wants low-altitude hill station weather year-round. Ooty or Coorg serve that brief.
  • The group is under 50 pax and the client wants somewhere memorable rather than functional. Bengaluru is a workhorse destination — it's excellent at what it does, but it doesn't inspire the way an unusual leisure destination does.
  • Budget is extremely tight and the programme doesn't need the city's infrastructure. A resort property in a secondary destination may give better value.
